How to Create an Automated Key Result

Learn how to create a dynamic Key Result by connecting to a data source Insight or a KPI.

Overview

Quantive connects to over 170 business systems to automate your OKRs. The platform enables you to say goodbye to manual updates with dynamic Key Results. Automated Key Results connect to an Insight and are updated automatically from the Insight calculation or to a KPI, which is manually updated or is automatically updated by an Insight.


Automation with an existing Insight

Prerequisites

You must have created the Insight that tracks the data you need for your Key Result. For more information, see how to create codeless Insights from data sources and Apps or Insights with SQL.

Procedure

  1. Define a new Objective. Follow procedure Create objectives.

  2. Create a Key Result and click the "Automate" button.

    NOTE: This functionality is currently only available to users with the "Manage Data" permission, which by default is admin/data role users.

  3. Click on Choose a Data source.

  4. All the available data sources and Apps you have installed, including your own Quantive Results account, will show as an option. Select where the data you need is tracked.

  5. Select the Insight you want to use for your Key Result.

    Once you select the insight. it will show you the results for the insight you just selected. For some Insights, you may need to set additional filter values for the insight to ensure that you calculate the correct value for your key result.


  6. After saving your Key Result by clicking the "Confirm" button, it will now be automatically updated by the linked Insight you have selected and you will not need to manually update its progress.

NOTE: Automated key results are not updated automatically outside of the session start and end dates.


How to create an automated Key Result directly from an Insight.

You can also create automated Key Results directly from an Insight. Here is how:

  1. In the navigation pane, click on Insightboards.

  2. Click the Insightboard where the Insight is.

  3. Make sure the filters on the insightboard are set to the filters you want to use when calculating the number for the insight


  4. Go to the Insight and hover over the green dot and click + Add this number as a target.

  5. Click Add as Key result.


  6. Search for the Objective where you want to add the Key Result and click the Select button.


  7. The create a dynamic Key Result form will pull up. Insert all of the necessary information and click Add Key Result.


  8. You're done! Your Objective will now have a new Key Result that will be automatically updated as the Insight value changes.

Result

Any automated Key Result will show its linkage to the insight on the main Key Result page so show that you do not have to update the value manually.

NOTE: You can still add manual updates of the confidence level, a comment, and any custom fields on key result updates manually if you wish to provide additional information beyond what is provided by the automation.


Automation with a KPI

Prerequisites

To automate a Key Result you need to have Manage OKRs and Access KPIs permissions. The KPIs feature should also be enabled for the account. KPIs you want to automate with should already be set up in your account.

Procedure

You can automate a Key Result with a KPI while creating it or once it has been created already.

Automating a new KR with a KPI

Creating a new KR from under an Objective

  1. While creating a Key Result click the "Automate" button in the "Create Key Result" form.

  2. Click on Choose a KPI.

  3. Select the KPI you want to use for your Key Result from the recent KPIs list or by searching for a specific KPI.

  4. Once you select the KPI, the current value of the KPI is shown so you can confirm that you have selected the correct KPI.

  5. After creating your Key Result by clicking the "Confirm" button, the KR will now be automatically updated by the linked KPI you have selected and you will not need to manually update its progress. The KPI can be either manual or automated by an Insight and in both cases the KR progress is automatically updated.

NOTE: Automated Key Results are not updated automatically outside of the session start and end dates.

Creating a new KR directly from a KPI

Another way to create a KR automated by a KPI is by doing so directly from the KPI details screen:

  1. Open the KPI you want to use for the automation.

  2. Click on "Create KR from a KPI" from the ellipsis menu.

  3. Fill in the required fields. Note that you cannot change the Key Result type and its Unit as these values are inherited from the KPI. The initial number takes the current value of the KPI but you can alter it if you prefer.

  4. After creating your Key Result by clicking the "Add Key Result" button, the KR will now be automatically updated by the linked KPI you have selected and you will not need to manually update its progress. The KPI can be either manual or automated by an Insight and in both cases the KR progress is automatically updated.

Automating an existing KR with a KPI

You might decide to automate your KR at a later stage once you have already created it and have even added some manual updates to it. To do so, follow these steps:

  1. Open the KR you want to automate.

  2. Click on "Edit KPI" from the ellipsis menu.

  3. Click the "Automate" button in the "Edit Key Result" form.

  4. Click on Choose a KPI.

  5. Select the KPI you want to use for your Key Result from the recent KPIs list or by searching for a specific KPI.

  6. Once you select the KPI, the current value of the KPI is shown so you can confirm that you have selected the correct KPI.

  7. After saving your Key Result by clicking the "Confirm" button, the KR will now be automatically updated by the linked KPI you have selected and you will not need to manually update its progress. The KPI can be either manual or automated by an Insight and in both cases the KR progress is automatically updated.

Results

Any automated Key Result will show its linkage to the KPI on the main Key Result page and show that you do not have to update the value manually.

Once a KR is automated by a KPI, you will see the KPI in the "Automation" field on the KR details page.

To view the details of the KPI that was used for the automation click on "View KPI" in the "..." menu. If you have "Manage KPIs" permissions, you will also have the option to directly edit the KPI by clicking on "Edit KPI" in the "..." menu.

Once the KPI is updated, an update will appear in the KR as well, which specifies the change, the KPI the change is coming from and that KPI's owner.

NOTE: You can still add manual updates of the confidence level, a comment, and any custom fields on key result updates manually if you wish to provide additional information beyond what is provided by the automation.
