Overview

Gtmhub offers out-of-the-box emails to remind employees to update their OKRs on the desired update date.

Email update reminders are flexible and can be configured based on the company's needs.


Prerequisite

To be able to configure OKR update reminders, you have to be an account administrator.


Configuration

  1. In the bottom of the navigation pane, click on Settings.

  2. Then click on OKR update reminders.

  3. You can control who receives the report by excluding employees and teams from the drop-down.

  4. In the Cadence dropdown box, select how often you want to receive the update reminders. Choose between Daily, Weekly, Every two weeks, and Monthly.

  5. Under Cadence, select the day of the week, the hour and the minutes for sending the update reminders. *Note that this option will only appear when selecting any other option besides Daily.

  6. The system automatically detects your browser’s time zone. However, if needed you can set a different time zone at the bottom of the window.

  7. When setting up the OKR update reminders report you must select the channel via which you'd like to send the reminders. You can chose between Email, Slack and Microsoft Teams. You can select more than one channel.

  8. To turn on the OKR update reminders, click on 'Enable'

  9. To stop sending the email reminders click on 'Pause'


    Check the content by sending a test preview email

    If you'd like to check how the email looks like once it starts sending you, select a recipient from the drop-down and send them a test email. They will be able to preview a test email with the data that they will be receiving.

    *Only recipients that are eligible to receive the reminders (owners of OKRs in a current session) can receive a test preview e-mail.



After configuring and enabling OKR update reminders all employees that use Gtmhub will receive regular reminders on when to update their OKRs to provide transparency and up-to-date data in your organization.

FAQ

Who receives the OKR update reminders?

You will receive a reminder to update your OKRs if you own a KR. Based on the configuration for the team-owned OKRs either the manager or the whole team receives reminders.

Which OKRs are included in the reminders?

Gtmhub will send you reminders to update OKRs that meet the following criteria:

  1. You are an owner of the OKRs

  2. The session they belong to is current. In other words:

    1. the session status is 'Open' or 'In Progress'

    2. The session's start date is before today and the session's end date is after today.

  3. You have not updated your KRs within the cadence as per the session's settings.


Which OKRs are excluded from the reminders?

  1. Achieved - with progress equal or more than 100%.

  2. KRs already updated in the current cadence.

  3. Dynamic KRs.

  4. KRs part of closed or achieved Objectives.
