This privacy policy aims to help you understand the privacy practices in Quantive. When we talk about Quantive in this policy, we are talking about Quantive USA, Inc. and its affiliates, the Quantive products, and the Quantive website at www.quantive.com.
This Policy describes how Quantive treats your information in the cases where Quantive is Data Controller. This Privacy Policy does not apply to the extent that we process Personal Data in the role of a processor on behalf of our customers. Each of our customers controls how your data is handled through their subscriptions, including what type of data they submit for processing by Quantive, and the purposes we are allowed to use it for. If you have a user account created in one of our products by a customer of ours, then we are collecting and processing your names and email address for the purposes of identification and authentication. Any other data that might be shared as part of Objective and Key Results, Data Streams, or any other form or functionality within our products, is a responsibility of the customer, as a data controller. Use of this data by Quantive is governed by agreements between Quantive and the customer. If you are using a Quantive product through our customer’s subscription, we suggest you get familiar you with the privacy policy of that organization. If your Personal Data has been submitted to us by or on behalf of a Quantive customer and you wish to exercise any rights you may have under applicable data protection laws, please inquire with the applicable customer directly.
Our website may include links to other websites whose privacy practices may differ from those of Quantive. Please refer to the privacy policies of any linked third-party website to learn how they collect and use information that is gathered through those websites.
Information We May Collect from You
We may collect information about when you provide it to us by filling out forms on our website or the Quantive products. Information is also provided if you correspond with us by phone, email, our chat service (both on the website and the products), and other media. Information might also be collected when you visit our offices, attend any of our physical or virtual events, such as webinars, or if you have applied for a position at Quantive.
We may collect the following types of information that you provide us with:
Contact information: When you use our website’s functionality to get in touch with us in relation to trying out our products, or expressing interest in purchasing our products, we may collect your first name, last name, email address, job position, and telephone number. Additionally, when may collect contact information when you sign up for webinars or download some of the resources on our website. In these cases, Quantive may collect your first name, last name and email address. In cases where you have interacted with any of our social media accounts, we might collect your first name, last name, email address and other data provided by the social media such as handles or activity. If you are a member of а community hosted by Quantive, we may collect your first name, last name, email address, job position, and telephone number.
Account and profile information: The information we require to create your Quantive account is first and last name, email address, and password. If you authenticate with sign-in services such as an OpenID Connect provider, you would have the option to pre-populate our sign-up form with information through that provider.
Administrator information: If a customer creates an account for you to use the Services as an account administrator, we collect Personal Information to allow you to use our Services via this account. When you sign up, you provide us with your first and last name, password, email address, job title and other account information necessary to create and maintain your account.
Optional information: You can enter optional information into your profile. This includes information such as your company name, your role, etc. Any information you add to your profile may be visible to other people on your team.
Sandbox information: When you create a sandbox of Quantive, we collect your email address, your password, your first and last name, your company name, and Quantive domain (ex: your-company-name.quantive.com).
Quantive usage information: In sandboxes, we collect information about which insights, applications you are using as well as what integrations with related services you use. This helps us focus on improving the things that you use and deliver a better service.
User experience data: When you visit the Quantive website, communities or use any of our products, you might be prompted to complete a survey related to your satisfaction with the website or the products. If you agree to complete the survey, we will collect data related to your satisfaction and overall experience you have with the service provided by Quantive.
Log data: When you visit the Quantive website, communities, or use any of our products, our servers automatically record information, including information that your browser sends whenever you visit the Quantive website, applications, or communities. This log data may include your Internet Protocol address, the address of the web page you visited before coming to Quantive, your browser type and settings, the date and time of your request, information about your browser configuration and plug-ins, language preferences, and cookie data.
Device information: In addition to log data, we may also collect information about the device on which you are using the Quantive products or visiting the website. The device information may include the type of device, operating system, device settings, unique device identifiers, and crash data. Whether we collect some or all of this information often depends on what type of device you're using and its settings.
System integrations: If you integrate a Quantive product with a system or data source we will connect the content you have chosen, from that system or source to the Quantive product. We may collect information about what types of integrations you use in your account.
Job applicant data: When you apply for a position at Quantive, we collect your contact information (as described above), along with your resume. We might also collect a cover letter, educational and work background. We might also collect other types of data that you willingly provide as part of your application. Sensitive data such as Social Security Number, National Insurance number, or other government identifier might be collected as part of the hiring process, if you are selected to join the company.
Please note that we do not collect payment information from you. This will be collected directly from you by our third-party payment processor – Braintree. The payment provider is a validated Level 1 PCI DSS compliant service provider. For more information on how you card payment data is handled you should refer to Braintree’s privacy policy.
Information We May Collect from Other Sources
We may collect information about you, including personal data, from third parties for business and commercial purposes:
Information might be provided as part of business intelligence tools that we use or marketing firms we work with. We might also receive your information from one of our partners, as sourced from their network or if you have attended an event, webinar, or have downloaded or expressed interest is some of the materials they provide. We are using this information to analyse business opportunities and to identify and communicate with potential customers. Information collected is first name last name, email address, position and name of the organisation employing you, and in some cases telephone number.
Information about you might be provided from third parties for identifying suitable candidates for an open position at Quantive. Such parties are social media websites, including LinkedIn or recruiting agencies that we partner with. Information collected is first name, last name, email address, resume or cover letter that you have provided to the third party, location of residence that you have provided, or feedback of an interview that you have performed with the recruitment agency. If you are selected to proceed to the final stages of the recruitment process, we might also collect information related to your education, employment, and criminal background, through the background check service that we use.
Cookies
Quantive uses cookies, or similar technologies such as web beacons, to record log data. We use both session-based and persistent cookies. Cookies are small text files sent by us to your computer and from your computer to us, each time you visit our website. They are unique to your Quantive account or your browser. Session-based cookies last only while your browser is open and are automatically deleted when you close your browser. Persistent cookies last until you or your browser delete them or until they expire. Some cookies are associated with your Quantive account and personal information in order to remember that you are logged in. Other cookies are not tied to your Quantive account but are unique and allow us to do website analytics and customization, among other things. How We Use the Information We Collect
We use the information you provide based on how you interact with us, our website and the products and services we provide.
For the purposes of identification and authentication in the products we provide, or communities we host.
We may contact you if you have expressed interest in any of our products and services.
We may use the data to identify potential customers, opportunities, new product areas, and map specific trends.
We may send you service and administrative emails, such as when your sandbox is about to expire or alerts for events of interest or discussions you are part of. We may also contact you to inform you about changes in our services, or our service offerings. These messages are considered part of the service we deliver, and you may not opt-out of them. You can opt-out from any product updates and other messages that we may share with you in an effort to keep you updated on what offers and how you can benefit from it.
Understanding and improving our products. This may relate to improving the performance, usability, security or accessibility.
In cases where policy violations, fraudulent or suspicious activities are identified we may use your information in our analyses or monitoring activities to support our efforts of protecting you and our customers. We might also use the data to keep Quantive secure and to prevent abuse and misuse of content.
If you get in touch with our Customer Success or Technical Success team, we might use the information you provide to assist you in your issues or respond to your requests.
We might use the data you provide us as part of our recruiting and hiring process. We will use your data to get in touch with you regarding your application and further opportunities at Quantive. If you are selected to advance to the final stages of the process, we might use your data to perform, where allowed background checks.
We may also use your personal data for other purposes not listed above if you have provided us with explicit consent to do so.
Generative AI in Quantive

Having restrictive agreements with the LLM provider we use – Microsoft Azure.
Performing regular vulnerability assessments and penetration tests focusing OWASP's Top 10 risks for LLMs are to validate our security controls and AI guard rails.
Being an ISO 27001 certified organisation and providing an annual SOC 2 Type 2 reports to its customers.
Using the platform does not require any additional data from you, but strategical suggestions will be more accurate and complete when supported with relevant data in the form of documents.
Ensuring the LLM does not store any of the data you provide or the responses you receive.
Never sharing your data with additional third parties. The platform respects your data residency: organisations opted for our EU DC will be using LLM endpoints located in the EU (and same goes for US).
Never using any of your data to train the generative model Quantive is using, and the features do not combine data from different accounts to provide more accurate suggestions.
Making sure that the suggestions provided to users are relevant, we use the context of what they are trying to do, who they are (what the platform understands about them), what they are typically focused on, who they collaborate with, their tone of voice, and the supporting documents they provide.
In compliance with GDPR, the use of AI does not override any decisions by end users on their strategy planning, aligning, and execution processes but helps with suggestions that could be relevant to their job. Also, Quantive does not use Generative AI in any means of form to perform user profiling. All of the provisions of this privacy policy will remain effective if you use this feature.
Personal Data Disclosure
We may share the data you provide us with third parties for the following business purposes:
We might disclose data to service providers and sub-contractors for the provisioning and performance of contracted services we are providing. The specific sub-contractors and categories of data are documented in a DPA and/or SCC, if laws and regulations require so. We might disclose your data to business partners and resellers for commercial and marketing purposes.
In case of requests from authorities, we might disclose your data to comply with the law or to respond to legal requests.
Security
Quantive takes reasonable steps to protect the information you provide to us and the data you connect to the Quantive application from loss, misuse, and unauthorized access or disclosure. The transmission of sensitive information (such as sign-in credentials) is encrypted using secure socket layer technology (SSL). We follow generally accepted standards to protect the personal data submitted to us, both during transmission and once we receive it. Although Quantive makes every effort to ensure the security of customer information, it's important to note that no electronic or email transmission or digital storage mechanism is ever fully secure or error-free.

Data Retention
Quantive will retain personal data of subjects, we process on behalf of our customers, for the period until the end of the provisioned service, subject to any limitations imposed by our agreements with those customers. Data from the production systems of Quantive is automatically deleted 90 days after the cancellation notice. Additionally, to ensure business continuity and satisfy disaster recovery requirements, data is backed up and retained for 180 days and is automatically deleted after that. Data might be retained for a different, period if a subject data deletion is requested through the agreed channels with the customer, and in compliance with data protection laws.
Personal data collected directly from you as a data subject will be retained for as long as reasonably necessary to perform the activities specified in How We Use the Information We Collect. Data retention periods are defined in accordance with any legal, regulatory, accounting and reporting requirements. Furthermore, Quantive carries out assessments of the volume, nature, sensitivity and risk, when determining retention periods.

International Transfers
We may transfer your personal data to countries outside of the EU in order to provide our services. We take appropriate measures to ensure that your personal data is protected in accordance with applicable data protection laws. These measures may include entering into data transfer agreements using standard contractual clauses approved by the European Commission.
Your Rights and Your Choice
According to the data protection laws that apply to you, you may have certain data protection rights that you can exercise. We will not charge you any fees to exercise your rights, unless they are unfounded or excessive. We will respond to legitimate requests within one month of the date of submission. In rare cases if the request is particularly complex, we might take longer than one month, but we will notify you and keep you updated with the status of your request. The following rights may be applicable to you:

Right to object or restrict the processing of your personal information, including opting-out of marketing and communications.

If you would like to exercise any of the data protection rights applicable to you, please send us a request to dpo@quantive.com. Please note that in cases where we process your personal information on behalf of our customers, e.g. the company you are employed at is our customer, you need to submit a request to them as they are the controller of your data. Upon request from the data controller, Quantive will cooperate with the data controller in responding to your request.
Changes to This Policy
We may from time to update this policy to reflect the regulatory requirements or the changes and improvements we have made to our privacy practices. If any material changes are made, that might affect your rights, we will notify you through a message on our website, an email communication, or by notifying the administrators of our customers.
