Work with tasks

Learn how to create tasks, associate tasks with OKRs, create a Custom View and connect them to Jira issues

Overview

Tasks are a fundamental component of OKRs. Tasks are used to determine what needs to be done to reach your goals.

Quantive Results understands OKRs as a pyramid with three main components:

  • Objectives - What I want to achieve?
    For example, Become a thought leader.

  • Key results - How do I measure it?
    For example, Grow blog subscribers list to 5,000.

  • Tasks - What needs to be done about it?
    For example, Write a blog post on "Trends in the SaaS industry in 2022".

You can create tasks from several places in the system:

A user would need the "Manage tasks" user role permission to: own, assign, create, edit, and delete tasks.

  • The Tasks section

  • The Home page

  • While editing an objective

  • While editing a key result


Create a task from the Tasks section

When you create a task, you can attach it to an OKR. This is optional – you can also create a stand alone task.

To do this, perform the following:

  1. In the Quantive navigation bar, click on tasks.

  2. In the top toolbar, click on Create task.

  3. Enter a task title.

  4. By default you are automatically assigned as the task owner.
    If you want to change it, click in the Owner column and start typing the new owner – user.

  5. In Status, select whether the task is To-do, In progress, or Done.

  6. Optionally, you can pick a due date by clicking in the "Select date" field and selecting a deadline for the task completion.

  7. Optionally, you can link the task to an objective or key result.

  8. Optionally, you can also enter a Description of the task.

9. You can also view any custom fields you have created and applied to tasks at the bottom of your create task page.


Create a task from the Home page

To do this, perform the following:

  1. Navigate to the Home page.

  2. In the toolbar, expand Add and select Task.

  3. Enter a task title.

  4. You are automatically assigned as the task owner.
    If you want to change that, click Change and select a new user.

  5. In Status, select whether the task is To-do, In progress, or Done.

  6. Optionally, you can pick a due date by clicking in the "Select date" field and selecting a deadline for the task completion.

  7. Optionally, you can link the task to an objective or key result.

  8. Optionally, you can also enter a Description of the task.

  9. You can also view any custom fields you have created and applied to tasks at the bottom of your create task page.


Create a task from an objective

Perform the following:

  1. Open the objective for editing or create a new one.

  2. Under Tasks, in the first column, enter a name for the task.

  3. In the next column, enter the user that will own the task.

  4. Optionally, click Set date and select the due date.

  5. In the last column, set the status of the task.


Create a task from a key result

Perform the following:

  1. Open the key result for editing.

  2. Under Tasks, in the first column, click + Add task.

  3. Enter a task title.

  4. Enter the user that will own the task.

  5. In Status, select whether the task is To-do, In progress, or Done.

  6. Optionally, you can pick a due date by clicking in the "Select date" field and selecting a deadline for the task completion.

  7. Optionally, you can link the task to an objective or key result.

  8. Optionally, you can also enter a Description of the task.

  9. You can also view any custom fields you have created and applied to tasks at the bottom of your create task page.


Result

The task is immediately created – when you enter the title.

Navigate back to the Home or the Tasks page and refresh it to see the new task.

NOTE: Quantive Results will send you a notification 24 hours before the due date.


Create a Custom View

  • Creating a custom view within tasks - lets you create a view based on the tasks assigned to other users.

    1. You can create a new custom view by clicking on the "Create Custom View" button at the top of your tasks page.

    2. Next add a title to the custom view. As an example, I want to see the tasks assigned to my Technical Success Team, I will name this custom view "Technical Success Team Tasks".

    3. Next in the Owner field, search the users that are in the team you are creating the custom view for, in this case I will put the users that are in my "Technical Success Team".

    4. Next save your Custom View, and you will now see your created custom view saved in your expanded navigation under the "Custom Views" section.

    5. The custom view created for our "Technical Success Team" will now show us any assigned tasks to the users in our specified team. You can view owner, due date, description, status, as well as any linked OKR.


Change tasks view

Instead of a list, you can switch to Kanban view of tasks. Each task board can be visualized as a Kanban board or list.

Each board has three statuses:

  • To do

  • In progress

  • Done

To do this, click Tasks menu option and choose Kanban from the top left.


Detach an OKR from a task

You can attach a task to an OKR to show how your work relates to your OKRs. You do this while you are creating or editing a task. You can also detach a task from an OKR, if it is no longer relevant.

  1. Click on the Kanban or on the List view.

  2. Choose the task and expand the three dots menu option next to it.

  3. Choose Edit.

  4. Click x next to the Linked to objective or key result.


Jira tasks

Quantive Results also supports direct integration with Jira. In this scenario, you can define your tasks in Jira and assign them to your OKRs. It is also possible to merge Quantive Results tasks with Jira tasks.
